OFFICE RECEPTION
JOB PROFILE
JOB- TITLE : Office Receptionist
REPORTS TO : Chief Executive Officer
TERMS : Volunteer Contract with Possibility of Permanent contract
PERIOD : November 2011 to November 2012


The Kenya National Association of the Deaf (KNAD) is a legal Non- Governmental Organization (NGO).
The organization was registered in 1987 with the government of Kenya under the Registrar of Societies
Act of 1968 rule 4. Its membership is derived from affiliated regional association with members drawn
from the grassroots Deaf community country wide. From its humble inception and membership drive,
KNAD has since demonstrated excellent and a unique capacity to promote human rights of deaf people
through the use of Kenyan Sign language and contributed as effectively as possible to the establishment
of a society that respects human dignity, social justice and equal opportunity for Deaf Persons in Kenya.
In order to achieve its goals and objectives in a timely manner for the benefit of Deaf Community in
Kenya through efficiency provision of services and timely correspondences, Kenya National Association
wishes to recruit a competent person for the position of Office Reception


Terms and Conditions of Employment:


The employment will be on volunteer basis and shall run for the duration of the agreement period of
12months. The contract will expire with possibility of renewal depending on availability of funding. The
position holder where as may not be getting salaries pending funding availability, shall be given stipend
for transport and lunch per month until when the funds will be available. The working hours are from 8am
to 5pm each weekday.


Duties and Responsibilities:


RECEPTIONIST


Key job tasks of receptionist


? Pick up and deliver the mail, information, documents, and small packages for businesses, institutions, and
government agencies.
? Maintain records of deliveries and often obtain signatures from the persons receiving the items. ? Open and date stamp all general correspondence.
? Welcome visitors and guests and direct appropriately
? Respond to public inquiries
? Provide word-processing and secretarial support.
? Order stock of coffee, tea and sugar
? Responsible for daily cleaning and general maintenance of the office
? Record and handle all incoming and outgoing couriers


Education and Experience


? Must be able to read and write English.
? Excellent communication and problem solving skills.
? Customer Service oriented
? Committed to hard work and continual learning.
? Effective verbal and listening.
? Communications skills.
? Word processing programs at a highly proficient level.
? Time management skills.
? Preferably should be Deaf

ADMINISTRATIVE SECRETARY


General Purpose


Perform a wide range of administrative and office support activities for the department and/or managers
and supervisors to facilitate the efficient operation of the organization.

Main Job Tasks and Responsibilities


? Receive, direct and relay telephone messages and fax messages.
? Arranging maintenance visits and logging the duration thereof
? Maintain the general filing system and file all correspondence (electronic and hard copy filing
system)
? Assist in the planning and preparation of meetings, conferences and conference
telephone calls.
? Assist the Executive Director and other staff as requested.
? Provide administrative services for the Executive Director.
? Make preparations for meetings- record, compile, transcribe and distribute minutes of meetings
? Maintain an adequate inventory of office supplies.
? Monitor the use of supplies and equipment.
? Coordinate the repair and maintenance of office equipment.
? general clerical duties including photocopying, fax and mailing
? handle requests for information and data
? resolve administrative problems and inquiries
? prepare written responses to routine enquiries
? prepare and modify documents including correspondence, reports, drafts, memos and emails
? schedule and coordinate meetings, appointments and travel arrangements for managers or
supervisors
? prepare agendas for meetings and prepare schedules
? open, sort and distribute incoming correspondence
? coordinate maintenance of office equipment
? coordinate and maintain records for staff, telephones, parking and petty cash


Education and Experience


? computer skills and knowledge of relevant software
? Knowledge of operation of standard office equipment.
? knowledge of clerical and administrative procedures and systems such as filing and record
keeping
? knowledge of principles and practices of basic office management
? Motivated to learn Kenyan Sign Language (KSL)
